Reviewing your company record

Check that you are working with the right company and the right information. Understand which details come from official records, which your team maintains and what needs further review.

5 min read

Your company record brings information into the context of your Motaded workspace. Some details may come from a supported authority connection; others may have been entered by your team. Before using the record in an application, review the company identity, the source of important fields and any differences that could affect the procedure.

Who does what

  • Company profile in Motaded

Holds the company information used within the workspace.

  • Retrieved authority information

Reflects the information returned by a supported service when it was checked.

  • Official company documents

Provide evidence of the information recorded or issued at a particular point in time.

  • Your authorised team

Reviews differences and decides which supported workspace updates to apply.

  • Relevant authority

Maintains its official records and handles formal corrections or amendments.

In what order

  1. Confirm the legal entity

Check the company name and official identifier against the relevant registration record. Do not rely on the workspace display name alone.

  2. Identify the information you need

Focus on the details relevant to your task, such as ownership, management, activities, address or contact information.

  3. Check the source

Distinguish information retrieved from an authority from information entered by your team. Where available, review when it was retrieved or recorded.

  4. Compare supporting records

Use the relevant official record or document to investigate differences. A recently uploaded file may still contain older information.

  5. Separate workspace corrections from official changes

Correcting a workspace entry does not amend the authority’s record. If the official record needs changing, prepare the relevant procedure separately.

  6. Apply supported profile updates carefully

Where Motaded offers a choice of fields to update, review each proposed value. Avoid replacing information solely because a different value is available.

  7. Review affected preparation

Check any related drafts before continuing. Do not assume a company-profile change has updated every prepared application or altered a request already submitted.

Profile vs official record

Your workspace company profile

  • Supports preparation and everyday work
  • Can contain team-entered and retrieved information
  • May need review after company changes
  • Is not itself the authority’s official register

An official company record

  • Is maintained by the relevant authority
  • Has its own correction and amendment procedures
  • May differ from an older document or retrieved snapshot
  • Must be checked when an official fact is in question

Key points to check

  • Legal identity

Match the company to its official identifier before using its information.

    Official registration record

  • Owners and management

Review the information relevant to the action and the authority of the person acting.

    Relevant company records

  • Activities

Check recorded activities against the procedure you are preparing.

    Official record / your company

  • Address and contacts

Identify which system needs each detail; a change in one place may not update another.

    Relevant source system

  • Documents

Check what period or event the document represents.

    Issuing authority / document contents

Mistakes to avoid

  • Treating the workspace name as proof of legal identity.
  • Assuming recently retrieved information can never need further checking.
  • Replacing a value without understanding why it differs.
  • Treating an uploaded document as a live authority record.
  • Assuming a profile edit changes previously submitted applications.

FAQ

Check what each source represents and when it was recorded. For an official fact, review the relevant authority’s current record. Do not resolve a difference by choosing the newest-looking value alone.
